Our meeting rooms can be transformed into most any styles to accomodate virtually every type and size of function.  All rooms offer complete audiovisual capabilities.


Our facility includes:

Two Conference Rooms for your choice of set-up style with in-room LCD, opaque, and overhead projectors and whiteboard.


Two Classrooms for up to 20 each.


A wide range of audiovisual equipment to suit your needs, including PC Projectors, Laptops, Plasma Screens, multi-media system, internet connection, microphones, VCR, and more. Audiovisual support is available in all rooms.


We have catering facilities and can arrange all your catering requirements to make your meeting day more enjoyable.

Our facility includes a range of audio visual services to meet all your meeting requirements.

· Wireless internet is available throughout the facility ... and these services are part of all meeting packages and are available with individual room rentals:

· TV/VCR/DVD/CD

TERMS AND CONDITIONS

Submitting a booking enquiry confirms acceptance of the Terms & Conditions as follows:

CONFIRMATION OF YOUR BOOKING

The Health Services Authority (H.S.A) will respond to your booking request within 3 days of receiving a completed booking form.


All bookings must be confirmed with receipt of a completed/signed booking sheet from the Client.


Delegate numbers indicated in your confirmation will be used as the basis for your final account. The H.S.A. must be notified of changes to delegate numbers prior to the event.


A designated room will be allocated when the booking is made, however we reserve the right to change rooms.

 

AMENDMENTS AND CANCELLATIONS

The H.S.A should be advised of cancellations of bookings.


The H.S.A reserves the right to cancel the booking if:

(a) The Conference Centre is closed due to maintenance requirements, or any other circumstances beynond the H.S.A.'s reasonable control (refunds will be made in full in such events).

(b) The booking may in the opinion of the H.S.A., prejudice the reputation of the Authority.

(c) The H.S.A. is not liable for any inconvenience or loss caused to any party as a result of such cancellation.

CHARGES AND PAYMENTS

(a) Rental charges are payable to the Health Services Authority

(b) Additional charges will be incurred if staffing is required for events, which either extend beyond 5pm, or those held before 9am.

(c) Additional charges may be incurred for stationery or photocopying services.

(d) Unless agreed otherwise the invoice will be raised after the event and sent to the client for payment. Payment must be made within 14 days of the date of invoice

(e) The H.S.A reserves the right to increase its charges before the event, but with prior notice to the client. Should the client not accept the increase, the event will be cancelled, and booking charges will not be levied.

DAMAGE

(a) The Client is responsible for allocated rooms during the period of the booking, any damage to the room or contents, incurred as a result of the Client’s or their representative’s negligence will result in the cost of the repairs etc, payable by the Client, or their representatives.

LIABILITIES AND INSURANCE

(a) The Health Services Authority shall not be liable for any claim for injury, loss of damage to property suffered by individuals or any claims for damages, including variations to facilities or services.

(b) The Client shall indemnify the H.S.A for all loss, damages, claims, costs and expenses incurred/suffered by the H.S.A arising as a result of the booking and in respect of any claims made against the H.S.A as a result of the use of rooms and/or facilities.

PUBLICITY

(a) Unless written authority is provided by the H.S.A, its name or logo must not to be used on any publicity material or press reports for "Non–H.S.A" events.

(b) Sale of tickets, distribution of material e.g. leaflets etc or goods is not permitted on any of the H.S.A’s premises (inclusive of the Centre).

HEALTH AND SAFETY

(a) The Client must familiarise themselves and their guests/delegates with the fire regulations in operation at the venue and position of nearest fire exits. If the fire alarm sounds, guests must vacate the building through the nearest exit and must not re – enter the building until instructed to do so.

GENERAL

(a) The H.S.A’s authorised personnel have the right of entry to all rooms, in particular the H.S.A reserves the right to inspect the rooms for cleaning or maintenance or to carry out emergency repairs

(b) Guests/Delegates shall not use the Centre for any illegal or immoral purpose.

(c) Smoking is NOT permitted in any area within the hospital site.

(d) The H.S.A reserves the right to decline any application of rental of room(s) in the Centre or use of the facilities.

(e) All equipment provided is the property of the H.S.A and should remain on site.

(f) The Client must state audiovisual equipment requirements, two weeks prior to the event; failure to do so may result in the Centre being unable to provide all your requirements.

(g) The H.S.A must be informed at least one week prior to the event of catering requirements or any alternate source of catering provisions. Failure to inform the centre will result in the Centre’s inability to provide catering or allocate space for alternative catering provisions.

 

The Centre will take all reasonable steps to provide the facilities required by the client, but will not guarantee compliance.
